A Planner + Rental Expert Break It Down

There are about a million decisions that go into planning a wedding. And while we could happily spend an entire afternoon debating napkin colors (we have, actually), designing a beautiful reception table involves a whole lot more than picking out pretty things.
There are textures to layer, colors to consider, rental budgets to stretch, and a surprisingly important question: Where is the bread going to go?
For this one, we're bringing in the experts. Our very own Ashley Griffith of Grit City Weddings + Events and Alexia Heidt from CORT Party Rental are breaking down how we take a tablescape from a few ideas and inspiration photos to a fully realized wedding design.
Start With the Desired Experience
Before we start pulling linens or debating between gold and silver flatware, Ashley wants to know what the couple wants their wedding to feel like.
Grit City Weddings clients start with a design questionnaire, sharing what they like, what they definitely do not like, and their reactions to different colors, images, textures, and design directions.
Some couples want an explosion of color. Others are all about texture, contrast, or creating a particular mood.
From there, we build design concepts with actual rental pieces, not just beautiful photos of things that may or may not exist outside Pinterest.
We're pulling real linens, glassware, flatware, and other elements from our rental partners to create color palettes and combinations that can actually be brought to life.
And that includes considering the way dinner will be served, because a plated meal requires a very different tabletop than a buffet or family-style dinner. That practical layer is part of the design from the beginning.
By the time we're ready for the showroom, we've already done our homework.
Welcome to the Showroom. We've Been Expecting You.
A rental showroom can be equal parts exciting and overwhelming. There are linens, plates, glasses, chargers, chairs, flatware, napkins, and approximately 47 things you suddenly did not know you could have strong opinions about.
This is why we do not walk in cold.
Before a CORT appointment, Ashley has already narrowed the direction considerably. She typically arrives about an hour before her clients to work with the CORT team on pulling rentals and setting up several tablescape options.
"By the time Ashley brings her clients into our showroom, she has already completed much of the important groundwork. She understands their overall vision, priorities, venue and budget, and typically has several pieces or design directions in mind to explore." - Alexia Heidt, CORT Party Rental, Purchasing and Marketing Manager
The primary design is laid out, but Ashley usually has a few surprises ready, too.
Maybe it's an elevated linen option. Maybe swapping the flatware color changes the entire feel of the place setting. Or maybe it's a combination the couple never would have considered until they saw it sitting right in front of them.
This is where the magic of seeing things in person happens.
A glass can look completely different against two linen colors. A napkin that seemed a little questionable on a screen suddenly becomes the star of the show.
And don't even get Ashley started on velvet linens. She can show you photos, explain the texture, and tell you how gorgeous they'll look all day long. But once you see and feel them in person? That's a whole different conversation.
Alexia adds: "Ashley leads the vision and the client experience; our role is to provide the rental expertise and behind-the-scenes support that helps her bring that vision to life."
During the appointment, Ashley walks clients through several concepts, listens to their reactions, and starts narrowing things down.
And when something is an absolute no? We get it out of sight. No need to keep staring at the napkin you've already decided you hate.
By the end, we've landed on a design everyone is excited about, and the CORT team helps us reserve the pieces that will bring it all together.
The Three Rental Upgrades We'd Spend Money On
Many venues and caterers provide basic dining rentals. And you absolutely do not need to upgrade every piece on the table to make it feel custom or elevated.
In fact, Ashley has a very clear hierarchy when a couple wants maximum impact without putting a huge portion of the wedding budget toward rentals.
1. Linens. Linens. Linens.
If you change one thing, change the linen.
A linen color can completely transform a reception space. A white tent suddenly feels rich and moody. A dark ballroom becomes brighter and more inviting. A neutral room gets an unexpected pop of personality.
And here's the best part: You don't necessarily need an expensive specialty linen to pull it off. Even a basic poly-blend linen in the right color can make a massive difference.
Alexia agrees that knowing where to invest is key:
"We look at where the rentals will have the greatest visual impact and build from there. Ashley helps establish the couple's priorities, and we help explore rental combinations that support the design while staying mindful of the budget."
Sometimes it's less about spending more and more about spending strategically.
2. Never Underestimate a Napkin
We're serious.
A napkin is relatively small, but multiply it by 100 guests and suddenly you've introduced a whole lot of color, texture, or contrast into the room.
Swapping a standard white napkin for something that complements your palette can be a simple, effective upgrade.
And if you're working with a limited rental budget, that's the kind of impact we're after.
3. Give the Water Glass Some Personality
This one might surprise you.
If there's one piece of glassware to consider upgrading, it's the water glass.
Think about it. It's sitting at every place setting, generally from the moment guests arrive until dinner wraps up.
"Glassware can make a surprisingly big impact. Swapping traditional clear glassware for something with color or a distinctive shape can transform the table without changing the overall design," says Alexia.
You might be surprised how much personality one little glass can bring to the party.

What We'd Skip (or at Least Spend Less On)
Fancy dinner plates aren't always worth the upgrade.
Depending on your venue and caterer, plates may already be included in your package. And if you're having a plated dinner, those beautiful dinner plates you so carefully selected might not even be on the table when guests walk into the reception.
They're in the catering kitchen, waiting for dinner service.
If you want a finished place setting before the meal is served, that's where chargers come into play. But if we're deciding between upgrading dinner plates or putting that money toward statement linens and glassware?
Ashley knows where she'd spend it.
Besides, when the plate isn’t adorned with a napkin, it’s piled with delicious food, so no one is looking at the plate anyway!
Don’t Forget About the Chairs
One of the most overlooked rental decisions, according to Alexia, is not actually on the table at all.
It is the chair.
"Couples naturally focus on what's on the table, but chairs surround the entire tablescape and become a significant part of the room visually," says Alexia.
And she's absolutely right.
The chairs are a huge part of what guests see when they walk into your reception. Their style, color, shape, and material can dramatically influence the overall design.
"The style, color and material of the chair can reinforce the overall design and dramatically change how the tables feel within the reception space. It's a great reminder to look beyond individual pieces and consider how all of the rental elements work together in the room." - Alexia, CORT Party Rental
This doesn't mean everyone needs upgraded chairs. It means we need to consider them as part of the design, not an afterthought.
A beautiful tablescape should look just as good when you take a few steps back as it does in a close-up photograph.
The Best Tablescapes Still Need to Function
Photos by GSquared Wedding Photography
This is the part Pinterest does not always show you.
A table can look gorgeous in a photograph and be miserable to actually sit at.
Where are the guests putting their drinks? Is there enough elbow room? What about the bread plates? And have we left any space for the giant platters of food you wanted to serve family-style?
Alexia puts it perfectly:
"A beautiful table still needs to function well for both guests and the service team. Table size, guest count and style of dinner service all influence what will comfortably fit."
This is one of the biggest things couples overlook when designing their own reception tables.
Alexia adds:
"Centerpieces, candles, bread plates, glassware, flatware and other details also need their place on the table. This is where an experienced planner is invaluable. Ashley is looking at the overall guest experience, while our team helps ensure the rental selections work practically with the table size and place settings."
We're all for a dramatic centerpiece. We just don't want anyone balancing their dinner plate on their lap because there wasn't enough room.
Why We Choose CORT Party Rental Time and Time Again
We work with a lot of talented wedding professionals, and one of the things we've learned over the years is that having the right people on your team makes everything better.
CORT Party Rental is one of those partners for us.
For starters, their selection is enormous. And it's not just about having lots of beautiful options. It's about having enough of those beautiful options for a massive wedding.
Their team also consistently adds to its inventory, bringing in new styles, patterns, colors, and finishes based in part on feedback from the planners who use their products.
But what really makes the difference for Ashley is the relationship.
CORT's team knows our events, understands the venues we work in, and remembers details that make complicated installations a whole lot smoother.
And we have to give a special shoutout to Amber, Sam, Livi, Joe, and the entire CORT Fife crew. They know their inventory inside and out, understand the quirks of our venues, and can spot a tricky delivery situation before it becomes a wedding-day headache.
And they genuinely care about making our events successful. That kind of partnership is worth its weight in gold flatware.
And when it comes to something more complicated, like tenting, that expertise is invaluable. At one of Ashley's earliest events, CORT came out to the property with a ladder in tow, measured the space, and figured out how to connect the tent seamlessly to the house. So when it inevitably rained, there was no need to scramble.
Alexia shares something we think sums up the partnership pretty well:
"Our role is to be a strong rental partner behind that work, supporting her from the showroom and final selections through order adjustments, delivery and installation, and ultimately breakdown or pickup."
It's also worth mentioning that they're genuinely fun people to spend an afternoon with. When your job involves this many moving parts, a team that knows its stuff and has a good sense of humor is a pretty great combination.

So, What's the Secret to a Great Wedding Tablescape?
It's not the most expensive charger, the trendiest glassware, or finding the exact napkin fold you saved on Pinterest six months ago.
It's creating a design that feels like you, works for your wedding, and makes sense within your budget.
And there's a lot of collaboration behind making that happen.
As Alexia puts it: "The couple can enjoy the creative process and their wedding day while an experienced team takes care of the details behind the scenes."
That's exactly how we want the process to feel.
You bring the vision, the opinions, and the occasional very strong feelings about patterned linens. We'll bring the design experience, the rental expertise, and the people who know how to make it all happen.
